Working With SEAI as a Contractor: A Job-File Checklist for Ireland

Homeowners look up the SEAI contractors list to find someone to do their energy upgrade. Contractors on the other side of that list have a different problem: keeping every grant-funded home properly documented.

This is a practical guide, not an official one. The rules for registration, grant levels and documents are set by SEAI and can change, so check seai.ie for the current position.

What a Good Job File Contains

• Who the homeowner is, and the property's address and Eircode
• What work was agreed, and when it was quoted
• Before and after photos, taken on the day
• Warranties and certificates for products and workmanship
• Homeowner sign-off
• What was invoiced, what was paid, and when

Working in Batches

If a partner sends you a list of approved homes, each home still needs its own job, its own paperwork and its own invoice. Treating a batch as one big job is how paperwork gets missed. Better to turn the list into individual jobs, track each home separately and invoice each home when it is complete, so you are never waiting on the whole batch to get paid.

Make Gaps Visible

The most useful thing you can do is make missing items obvious. A home with everything in place should look different from one still waiting on a photo or a signature, so the office can chase before claim time rather than after.
